Volunteer Handbook

Everything you need to know to have a successful and enjoyable volunteer experience at DarknessCon. Please review this handbook before your shift.

Check-In & Reporting

  • Arrive 30 minutes before your scheduled shift.
  • Check in at the Volunteer Booth upon arrival.
  • Wear your volunteer badge at all times while on shift.
  • Report to your department lead for your assignment.

What to Bring

  • Valid photo ID.
  • Comfortable, closed-toe shoes.
  • A reusable water bottle.
  • Any required personal medications.

Dress Code

  • Dark, comfortable clothing (black preferred).
  • Closed-toe shoes are mandatory — no sandals or heels.
  • Your volunteer t-shirt will be provided at check-in.
  • Dress for the weather if your role is outdoors.

Conduct Rules

  • Be professional, courteous, and respectful at all times.
  • Represent DarknessCon positively to attendees, vendors, and guests.
  • Do not consume alcohol or recreational substances before or during your shift.
  • Stay at your assigned post until relieved by another volunteer or staff member.
  • Direct any questions you cannot answer to your department lead.

Emergency Procedures

  • In an emergency, remain calm and follow your venue's evacuation plan.
  • Report all incidents to the nearest staff member immediately.
  • Familiarize yourself with exits and emergency equipment at your post.
  • Do not attempt to physically intervene in conflicts — alert security.

Departments

  • Registration / Check-In: Greet attendees, scan tickets, distribute badges.
  • Line Management: Organize queues, keep pathways clear.
  • Panel Room Monitor: Manage room capacity, assist presenters.
  • Vendor Support: Assist vendors with needs, monitor booth areas.
  • Setup / Breakdown: Help with physical setup and tear-down.
  • Info Booth: Answer attendee questions, provide directions.
  • Stage Crew: Support stage events and live performances.
  • Security Support: Observe and report, assist the security team.
